EchoBrief Terms of Service

Last updated: 5 November 2026

1. Who we are and what these terms cover

EchoBrief (the "Service") is operated by Oltaflock AI, India ("we", "us"). These terms are an agreement between us and the person or organisation that creates an account ("you"). If you use EchoBrief on behalf of a company, you confirm you can bind it to these terms, and "you" means that company. By creating an account or using the Service you accept these terms and our Privacy Policy. If you do not accept them, do not use the Service.

EchoBrief is a business tool. You must be at least 18 to use it.

2. The Service

EchoBrief sends a notetaker bot to the Google Meet, Zoom or Microsoft Teams calls you choose (or processes recordings you upload), transcribes the conversation — including Hindi, other Indian languages and English, and speech that mixes them — into English, and produces summaries, action items, deal notes, coaching notes and other insights. You can receive these by email, in the app, and through integrations you connect.

3. Free trial

  • A new account gets a free trial of 7 days and 3 hours of recorded meetings, with a limit of 2 hours per meeting, whichever runs out first.
  • No payment card is needed, and the trial never turns into a paid plan on its own. When it ends, the notetaker stops joining calls until you choose a plan.
  • One trial per person or organisation. We may end a trial that is being used to get around this.

4. Plans, billing and renewal

  • Merchant of record. Payments are processed by Dodo Payments, which acts as the merchant of record: it charges you, issues your invoice and handles sales tax, GST or VAT. Prices shown on our pricing page include those taxes.
  • Billing period. Plans are billed monthly or annually, in advance.
  • Automatic renewal. Your subscription renews automatically at the end of each billing period, at the then-current price for your plan, and charges the payment method on file, until you cancel. We will tell you by email at least 30 days before a price change takes effect on your next renewal.
  • Included hours. Each plan includes a number of recorded hours per billing month (on the Sales Team plan, per paid seat, pooled across your workspace). When they are used up, the notetaker stops joining new calls until the next month or until you upgrade; a meeting already in progress is finished. There are no overage charges. Unused hours do not carry over.
  • Per-meeting limit. Each plan has a maximum recording length per meeting; the notetaker leaves when it is reached.
  • Failed payments. If a renewal payment fails and is not resolved, your plan ends and your account is treated as having no plan (section 5).

5. Cancelling

  • You can cancel at any time from Settings → Billing → Manage billing, or by emailing us. Cancelling stops the next renewal; you keep your plan until the end of the period you have paid for.
  • After that your account has no plan: the notetaker stops joining calls, and your existing meetings stay readable, with transcripts and summaries kept for 14 days from the day each meeting was recorded (see the retention table in the Privacy Policy).
  • You can delete your account and its data at any time from Settings → Security.

6. Refunds

Our refund policy is on its own page: echobrief.in/refunds. Nothing in it or in these terms limits rights you have under the consumer law of the country you live in.

7. Recording and consent

Recording a conversation can require the consent of everyone in it, and the rules differ by country and, in some places, by state. You are responsible for having a lawful basis to record each meeting you send EchoBrief to, including telling participants and obtaining their consent where the law requires it.

To help, the notetaker always identifies itself: its name always ends in "(EchoBrief Notetaker)", and when it joins it posts a message in the meeting chat saying it is recording and how to opt out. You must not hide, rename around or work against these notices, and you must remove the notetaker (or stop the recording) when a participant asks you to.

8. Your content and your data

  • You own your content — recordings, transcripts, summaries and everything else generated from your meetings. You give us a limited licence to host, process and transmit it only to provide the Service to you, including through the sub-processors listed in our Privacy Policy.
  • Roles. For the content of meetings you record, you decide what is recorded and why: you are the data fiduciary (or "controller"), and we process that content on your behalf and on your instructions. For your account details (name, email, billing), we are the data fiduciary, as described in the Privacy Policy.
  • We process personal data in line with India's Digital Personal Data Protection Act, 2023 and its rules, and, where they apply to you, other data protection laws such as the GDPR.
  • No training on your data. We do not use your recordings, transcripts or other content to train or improve any AI model, and we do not give it to anyone else for that purpose. The language-model providers we use (Anthropic and OpenAI) are barred by their API terms from training on what we send them.
  • We do not sell your data or use it for advertising.

9. AI output

Summaries, insights and coaching notes are generated by AI from what was said. We quote and timestamp the source of each point and remove points we cannot verify against the transcript, but transcription and AI can still be wrong. Check anything important against the recording before you rely on it.

10. Coaching and conversation analytics are not for employment decisions

Coaching notes, talk-time, engagement and similar measures are aids for a person to improve their own calls. You must not use them as the basis for decisions about hiring, promotion, pay, discipline or dismissal, or to monitor or rank employees. If you give a manager or team access to colleagues' meetings, you are responsible for telling your team what is shared and why.

11. Sharing and workspaces

You control who sees your meetings. Anyone who has a share link can open what that link includes, until you revoke it. If you join a workspace, its members see only what you (or an automatic sharing setting you turned on) share with it. The workspace owner's plan pays for the whole workspace.

12. Acceptable use

You must not use EchoBrief to:

  • record anyone unlawfully, or without the notice and consent the law requires;
  • record a call you are not entitled to join, or one held under a confidentiality obligation that forbids recording;
  • process special categories of data (such as health data) in a way that breaks the law that applies to it;
  • harass, deceive or impersonate anyone, or misrepresent your identity or affiliation;
  • break, probe, overload or reverse-engineer the Service, or get around its limits or security;
  • resell the Service, or use it to build a competing product, without our written agreement.

13. Other services you connect

Calendars, Slack, ClickUp, Notion, Zoho CRM and other integrations are provided by their own companies under their own terms. When you connect one, you direct us to send it the data that the integration's settings describe.

14. Changes to the Service

We improve EchoBrief continually and may change or remove features. If we remove something material that you pay for, we will tell you in advance and, if you choose to cancel because of it, refund the unused part of a prepaid annual plan.

15. Our intellectual property

The Service, its software and its branding belong to Oltaflock AI. These terms give you the right to use the Service while your account is in good standing, and nothing else.

16. Disclaimers

Apart from what these terms expressly promise, the Service is provided "as is" and "as available". To the extent the law allows, we disclaim implied warranties, including fitness for a particular purpose, and we do not promise the Service will be uninterrupted or error-free.

17. Limitation of liability

To the extent the law allows: (a) neither of us is liable for indirect, incidental, special or consequential losses, or for lost profits, revenue or data; and (b) our total liability arising from or relating to the Service is limited to the fees you paid us in the 12 months before the event that caused it. Nothing here limits liability that cannot be limited by law.

18. Indemnity

You will defend and indemnify Oltaflock AI against third-party claims arising from content you record or upload, from recording without a lawful basis, or from your breach of these terms.

19. Suspension and termination

You can stop using EchoBrief and delete your account at any time. We may suspend or close an account that breaks these terms or the law, or that puts other customers or the Service at risk; where we reasonably can, we will tell you first and give you a chance to fix it. Sections 8, 16, 17, 18 and 21 survive termination.

20. Changes to these terms

We may update these terms. For material changes we will email you at least 30 days before they take effect; if you do not accept them, you can cancel before then. The date at the top shows the latest version.

21. Governing law and disputes

These terms are governed by the laws of India. We will first try to resolve any dispute informally — write to us. Disputes that cannot be resolved that way are subject to the exclusive jurisdiction of the courts of India, except that either of us may seek urgent relief in any court that has jurisdiction.
